The English version of these terms and policies controls. Spanish and French translations are provided for convenience and should be reviewed by qualified counsel before commercial launch.
ArbSoul processes location, property, tree, photo, and professional-report information because those records are central to the service. We do not use that information for advertising or cross-company tracking.
1. Information we collect
Account and workspace information
Name, email address, authentication provider identifier, user ID, workspace membership, role, invitations, preferences, and account activity.
Professional and client records
Client and property contact information, addresses, map positions, GPS-assisted locations, tree and plant information, measurements, condition and risk observations, valuations, recommendations, pricing, notes, action items, service history, reports, and client flags.
Photos and documents
Tree and property photos, map overlays, report files, logos, professional credentials, attachments, captions, and related metadata.
Technical and feedback information
During the public beta, ArbSoul automatically records narrowly limited reliability signals such as app release, module, device and browser family, operating-system family, coarse screen-size category, online state, anonymous tester identifier, error type, safe source-file name, and a deduplicated failure fingerprint. Automatic reliability signals do not include client names, addresses, coordinates, tree or property identifiers, notes, photos, credentials, full URLs, or raw error messages. Feedback you intentionally submit can include the text, references, contact details, diagnostics, and attachments you provide. We do not use third-party advertising trackers.
Payments
The public beta is free. If paid service resumes, Stripe processes payment-card details. ArbSoul may retain customer, subscription, payment-status, receipt, and transaction identifiers, but does not receive complete card numbers.
2. How we use information
- Authenticate users and manage workspace and property access.
- Save, synchronize, map, organize, export, publish, and share records as requested.
- Generate professional PDFs, client portals, calculations, reminders, and notifications.
- Provide support, investigate reports, recover from errors, and prevent misuse.
- Test and improve usability, reliability, compatibility, reports, and professional workflows.
- Produce aggregated or de-identified service statistics that do not reasonably identify a person, client, property, or workspace.
- Meet legal, security, fraud-prevention, and recordkeeping obligations.
We do not sell personal information or Customer Data. We do not use professional records for targeted advertising.
4. Arborist client information
Client names, contact details, properties, maps, trees, and reports are used to serve the workspace that submitted or received them. ArbSoul will not use an arborist's client information to solicit that client, sell competing arboricultural or landscape services, or market ArbSoul directly to the client.
We may communicate with a client when the client initiates contact, an authorized user requests it, communication is needed to deliver a requested portal or security function, or law, safety, fraud prevention, or account protection reasonably requires it.
5. Retention and deletion
Active account and workspace records are kept while needed to provide ArbSoul. Privacy-limited automatic beta reliability events are normally deleted after 30 days, and beta feedback command-center copies after 180 days. Feedback attachments submitted through Netlify may follow a separate operational retention period while a report is investigated. Deleted records may remain in encrypted backups or security logs for a limited period before routine deletion. We may retain narrowly limited records when required by law, to resolve disputes, prevent fraud, or enforce agreements.
Deleting an owner account also deletes workspaces solely owned by that account and their associated database records. Uploaded files are removed or queued for removal. Other users' independent workspaces and records are not deleted.
6. Your choices and rights
- Review or update account and workspace information in ArbSoul.
- Turn optional location, camera, photo, or notification permissions off in device settings.
- Use manual address entry when location access is unavailable.
- Export professional reports and appropriate property records.
- Initiate permanent account deletion from Account & Data.
- Submit an access, correction, deletion, or privacy question through the privacy request form.
Depending on where you live, additional privacy rights may apply. We may need to verify identity and authority before completing a request involving client or workspace records.
7. Security and international processing
ArbSoul uses access controls, authenticated sessions, encrypted network connections, private storage, role-based workspace permissions, and service-provider safeguards. No system can guarantee absolute security. Please report suspected unauthorized access promptly and do not place highly sensitive information in free-text notes when it is unnecessary.
ArbSoul and its providers may process information in the United States and other countries. Laws in those locations may differ from your home jurisdiction.
Children
ArbSoul is a professional and business service intended for adults. It is not directed to children under 13, and users must be at least 18 to create or administer an account.
8. Questions and changes
Email hello@arbsoul.com or use the ArbSoul feedback form and choose "Privacy or account" for privacy questions or requests. We may update this policy as the beta and service providers change. Material changes will be presented in the app or on the website with a new effective date.
